Rotating 3-week schedule consisting of 8-hour shifts, including rotating weekends. Please see the schedule outline below.

The staffing office operates 7-days per week with a three-person team; hours may be adjusted based on operational needs.

Flexibility may occasionally be required to work outside regular hours.

Description

Reporting directly to the Employee and Labour Relations Manager, the Staffing Scheduler is responsible for the day-to-day coordination of departmental staff scheduling and long-term workforce scheduling across hospital units, including both nursing and non-nursing departments. This role ensures accurate maintenance of departmental master rotations and daily schedules, with ongoing updates and audits completed in the UKG system.

The Staffing Scheduler proactively monitors staffing needs, anticipates operational changes, and collaborates closely with leaders to ensure safe, appropriate staffing levels that align with patient care demands. This requires strong communication with internal departmental managers, leadership team members, and Executive Management, and the ability to interpret and apply collective agreement provisions, organizational policies, and employment legislation.

The successful candidate is a detail-oriented, forward-thinking individual who can independently manage competing priorities in a fast-paced hospital environment while contributing effectively to a three-person staffing team. Professionalism, diplomacy, adaptability, and sound judgement are essential.

Qualifications

  • Completion of post-secondary education at the college level in a complementary discipline (eg. Business Administration, Medical Office Assistant)
  • Strong customer service orientation, with sensitivity to employee needs and a high level of diplomacy and confidentiality
  • Previous experience using scheduling software (UKG, MediSolutions an asset)
  • Experience working in a unionized environment with demonstrated understanding of collective agreements, organizational policies, and employment legislation
  • Proficiency in Microsoft Office Suite, SharePoint, and HRIS/scheduling systems
  • Demonstrated cultural sensitivity and a commitment to reconciliation
  • Strong analytical, problem-solving and critical-thinking skills
  • Excellent written and verbal communication abilities
  • Effective time management and organizational skills with the ability to prioritize under pressure
  • Proven ability to maintain confidentiality and handle sensitive information
  • Ability to work independently and collaboratively with minimal supervision
  • Ability to remain composed and productive in a dynamic, high-volume environment
  • Demonstrated commitment to ongoing professional development
  • Ability to work flexible hours when required
